Administrative Assistant
MAY Management is seeking a motivated and detail-oriented Administrative Assistant to support the daily operations of the Ironwood community in Jacksonville, Florida. This role is ideal for an administrative professional who enjoys working in a fast-paced environment while supporting residents, vendors, Board Members, and on-site management staff. The Administrative Assistant will play an important role in helping maintain smooth day-to-day operations while providing exceptional customer service to the community.
The ideal candidate will be highly organized, adaptable, professional, and capable of managing multiple priorities efficiently. Candidates with property management, maintenance coordination, or customer service experience are highly encouraged to apply.
Qualifications:
- Previous HOA, condominium, property management, administrative, or customer service experience preferred
- Strong customer service and communication skills
- Excellent organizational and multitasking abilities
- Ability to professionally handle homeowner concerns and vendor coordination
- Strong written and verbal communication skills
- Proficiency in Microsoft Office Suite and property management software platforms
- Maintenance coordination experience or general property maintenance knowledge preferred
- Ability to work independently while collaborating within a team environment
- Strong attention to detail and follow-through
Key Responsibilities:
- Support the daily administrative operations of the community association office
- Respond to homeowner inquiries via phone, email, and resident portals
- Coordinate vendor scheduling, maintenance requests, and work orders
- Assist with resident communications, notices, and correspondence
- Maintain homeowner records, databases, and association documentation
- Assist with violation tracking and compliance correspondence
- Prepare meeting agendas, notices, and Board packets as needed
- Assist management staff with operational and administrative projects
- Support project coordination and vendor follow-up
- Conduct routine community inspections as directed
- Help maintain compliance with governing documents and association policies
- Maintain organized records, files, and operational documentation
