Job Title: Administrative Assistant

Location(s): Los Angeles, CA


Job Summary
Seeking an Administrative Assistant with prior clinic experience to support a telehealth access team. This role is responsible for managing patient inquiries, coordinating telehealth appointments, processing patient registrations, reviewing medical records, and providing administrative support to ensure an efficient telehealth experience.

Required Qualifications

  • Minimum 6 months of previous clinic experience (preferred).
  • Experience with Care Connect (required).
  • Strong administrative and customer service skills.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple priorities in a fast-paced healthcare environment.
  • Proficiency with Microsoft Office applications.
  • Strong organizational and documentation skills.

Preferred Skills

  • Experience with Epic.
  • Experience using Salesforce or other CRM systems.
  • Knowledge of patient registration and insurance verification.
  • Experience coordinating appointments in a healthcare environment.

Key Responsibilities

  • Serve as the primary point of contact for telehealth inquiries and appointment requests.
  • Process patient inquiries and facilitate access to telehealth services.
  • Collect and verify demographic, insurance, and required medical information.
  • Register patients in Care Connect and Salesforce.
  • Upload and organize medical records in Epic using ICAP.
  • Review medical records and route cases to the appropriate physician.
  • Coordinate with case managers, clinics, and providers to schedule telehealth appointments.
  • Attend telehealth appointments and assist with follow-up activities as needed.
  • Track inquiry status and communicate updates to patients and internal stakeholders.
  • Identify workflow improvements and assist in developing new processes and procedures.
  • Provide administrative, operational, and regulatory support for telehealth programs.
  • Collaborate with patient navigation, business services, clinical teams, operational leaders, and external partners to ensure a seamless patient experience.

Schedule:

  • Monday – Friday, 8:00 AM – 5:00 PM.
