Job Description

Under general supervision, this position will perform a variety of administrative, fiscal, scheduling, travel, documentation, and program support activities while working closely with internal teams, contracted agencies, and external stakeholders.

Job Responsibilities

  • Monitor, purchase, receive, and maintain office supplies in accordance with state policies, procedures, and documentation requirements.
  • Provide administrative support to the Fiscal and Grants Manager with contractual and invoice-related documentation.
  • Communicate with contracted agencies regarding administrative and documentation needs.
  • Assist with annual accrual audits and maintain organized, accessible files and records.
  • Coordinate travel arrangements for staff, including preparation of out-of-state travel documentation in compliance with state travel regulations.
  • Ensure accurate accounting codes and required documentation for travel-related activities.
  • Lead scheduling and coordination of meetings involving multiple internal and external stakeholders.
  • Arrange meeting logistics, including conference calls, web-based video services, and assistive technology as needed.
  • Attend meetings, take accurate notes, and maintain meeting documentation and follow-up materials.
  • Maintain office files and ensure work products and records are organized, current, and readily accessible.
  • Provide administrative support for program implementation activities across public health regions.
  • Coordinate social media releases and assist with website updates and maintenance.
  • Coordinate the development and production of flyers and other program communications in collaboration with the team and partners.
  • Perform other administrative duties and related responsibilities as assigned.

Qualifications

Education and Experience:

Bachelor's degree from an accredited college or university AND
Three years of increasingly responsible full-time professional staff administrative experience.
Substitution of Experience for Education:

Qualifying full-time increasingly responsible sub-professional, paraprofessional, or professional experience may substitute for the required education on a year-for-year basis, up to a maximum of four years.
Substitution of Education for Experience:

Additional graduate coursework in public administration, business administration, or another acceptable field may substitute for the required experience on a year-for-year basis, up to a maximum of two years.
