About the Role
Valley Vital Care Infusion Services is seeking an Administrative Assistant to serve as the operational front desk of the patient journey at one of our growing network of infusion pharmacy locations. The Administrative Assistant owns scheduling, phones, records, and the office experience that keeps each site moving — ensuring patients are scheduled, informed, and supported efficiently while keeping the front office on time and organized without compromising service.
This role grows along a defined administrative ladder of increasing scope and complexity, with three rungs: Administrative Assistant I, II, and III. Candidates are placed at the highest level whose essential functions they can perform independently and to standard.
Key Responsibilities
Core Responsibilities (All Levels)
- Manage scheduling, phones, and front-desk patient flow
- Maintain accurate patient records and documentation in the system
- Own intake handoffs and appointment coordination
- Own front-office operations and supply coordination
- Ensure patients have clear appointment and logistics details
- Drive administrative support for the site team
- Keep front-office workflows organized and audit ready
- Escalate clinical or access questions to the right owner
Added at Level II
- Own the full administrative scope for a site independently
- Own complex scheduling and site-level administrative coordination
- Serve as a resource for Administrative Assistant I teammates
Added at Level III
- Own the full administrative operation and front-office standards for the site
- Handle the most complex scheduling, records, and office workflows
- Train and set the standard for Administrative Assistant I and II
- Identify recurring operational barriers, recommend improvements, and help standardize best practices

Requirements
Qualifications by Level
Administrative Assistant I
- High school diploma or equivalent
- 0–1 year administrative or front-office experience
- Comfortable with scheduling and phone systems
- Basic computer and records skills
- Works with guidance
Administrative Assistant II
- 1–3 years administrative experience; healthcare front-office experience preferred
- Independent on the full administrative scope
- Strong organization and communication
- Some coordination responsibility
Administrative Assistant III
- 3+ years administrative experience, healthcare preferred
- Mastery of scheduling and records systems
- Independent on the most complex administrative work
- Demonstrated trainer and process resource
- Recognized administrative resource for the site or market
Benefits
Compensation & Benefits
- Administrative Assistant I: $33,000 – $38,000 base | 5% annual bonus target
- Administrative Assistant II: $38,000 – $44,000 base | 10% annual bonus target
- Administrative Assistant III: $44,000 – $52,000 base | 15% annual bonus target
- Hourly, overtime-eligible (Non-Exempt); base commensurate with experience and level placement
- A defined career path along the administrative ladder: AA I AA II AA III
