Administrative Assistant

(Sacramento, Full-time, On Site)

Fisher Phillips, a premier international labor and employment law firm, is seeking an experienced Administrative Assistant to join our team. In this essential role, you will help ensure the smooth operation of our services, directly supporting our attorneys in delivering exceptional client service and upholding our commitment to excellence.

Key Responsibilities

  • Welcome clients and visitors, provide a professional first impression of the firm, and assist with parking validations, refreshments, and meeting support.
  • Manage conference room reservations, guest office scheduling, and meeting logistics using the firm's scheduling software.
  • Maintain a clean, organized, and professional office environment, including conference rooms, lobby, kitchens, copy room, library and workspaces. Monitor office equipment, coordinate maintenance and repairs, and ensure copiers, printers, and office supplies remain stocked and operational.
  • Receive, sort, and distribute incoming mail, legal documents, deliveries, and packages.
  • Process outgoing mail and shipments through USPS, FedEx, UPS, and legal courier services.
  • Organize physical and electronic client and firm records in accordance with the firm's document management standards.
  • Prepare and produce documents through copying, scanning, OCR, printing, binding, and file conversion.
  • Assist with file closing procedures and the transfer of records to off-site storage.
  • Process vendor invoices, attorney expense reimbursements, and credit card reconciliations.
  • Manage all aspects of the new client and matter intake process, including submitting conflict checks, reviewing matter requests for accuracy and compliance, and processing new matters through the firm's intake system.
  • Provide administrative support to attorneys, legal support staff, and the Office Administrator, and assist with special projects as assigned.

Requirements

  • 1–3 years of administrative or office experience required.
  • Intermediate proficiency in Microsoft Office, including Word, Excel, PowerPoint, and Outlook; experience with Adobe Acrobat required.
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Excellent written and verbal communication skills.
  • Demonstrated problem-solving abilities and attention to detail.
  • Works effectively both independently and in a collaborative team environment.
  • Exercises sound judgment and maintains confidentiality.
  • Eagerness to learn new software and adapt to evolving business needs.

The hourly rate range for this position is $26.23-$31.79. Actual base pay within this range will be determined by several components, including but not limited to, location, relevant experience, internal equity, skills, qualifications, and other job-related factors permitted by law.
