Overview
Consider joining the MX Holdings family as an Administrative Assistant in our St. Louis, MO location. The Administrative Assistant is the welcoming face of our office and a driving force behind employee engagement and community. Managing the front desk, the AA greets visitors, keeps our front office running smoothly, and supports our Executive Administrative Assistant with day-to-day administrative needs.
The ideal candidate is personable, organized, and energized by planning events and bringing people together, with a knack for clear communication and a can-do attitude. This role also carries a bit of HR responsibility - from internal communications to initial onboarding support - making it a great fit for someone who enjoys variety and connecting with people across the company.
Responsibilities
Essential Duties and Responsibilities:
Ensures there is a positive first impression for visitors and candidates by maintaining the reception, common areas, and lobby of the St. Louis office.
Represents the company by maintaining a welcoming, professional presence that reflects our values of caring, integrity, safety and growth.
Registers visitors and guests in a professional and courteous manner, ensuring that they are escorted to the appropriate parties or conference rooms.
Answers phone calls and directs callers to the appropriate personnel by maintaining current phone lists.
Provides administrative support including:
Scheduling meetings
Account reconciliation
Filing, copying, scanning, faxing, etc.
Conducts inventory and orders office supplies.
Manages catering and meal orders for meetings and special events, ensuring that receipts are managed appropriately.
Maintains professional and tidy conference rooms and common areas, ensuring that conference rooms are not double-booked and that they are always stocked. Ensures that dishwashers are run and emptied as needed.
Reviews correspondence, memos, reports, and presentations.
Manages confidential and sensitive information with the highest level of integrity.
Maintains electronic and physical filing systems, ensuring documents are properly archived and easily accessible.
Conducts research and compiles data for reports and presentations.
Supports various projects and initiatives.
Partners with Executive Assistant and Human Resources Team to execute enterprise-wide projects, events, and initiatives.
Performs other duties as assigned.

Our salary ranges are primarily determined by role, level, and location. The range provided for each job posting reflects the minimum and maximum target salaries for the position across all US locations.
