Scion Nonprofit Staffing has been engaged to conduct a search for an Administrative Assistant on behalf of a respected independent educational organization in San Francisco. This is an exciting full-time, on-site, contract-to-hire opportunity to join a collaborative, mission-driven team while providing high-level administrative support to executive leadership and helping ensure the smooth day-to-day operations of the organization.

The ideal candidate is highly organized, proactive, and detail-oriented with excellent communication skills and the ability to anticipate needs in a fast-paced environment. This role requires professionalism, discretion, and the confidence to support senior leadership while managing multiple priorities.

Position Overview

Reporting to executive leadership, the Administrative Assistant will serve as a trusted administrative partner, coordinating calendars, meetings, travel, communications, and special projects while supporting daily office operations. The successful candidate thrives in a collaborative environment, enjoys problem-solving, and takes pride in delivering exceptional organizational support.

Key Responsibilities

  • Provide administrative support to executive leadership, including calendar management, scheduling, and meeting coordination.
  • Coordinate executive travel arrangements, itineraries, and expense reporting.
  • Prepare correspondence, presentations, reports, meeting agendas, and other business documents.
  • Serve as a primary point of contact for internal and external stakeholders, ensuring professional and timely communication.
  • Assist with board meetings, leadership meetings, and special events, including logistics and meeting materials.
  • Maintain confidential records, files, and executive documentation with a high degree of discretion.
  • Support project coordination, follow-up on action items, and administrative initiatives across departments.
  • Manage office supplies, vendor coordination, and general administrative functions.
  • Assist with data entry, document management, and maintaining organized digital and physical filing systems.
  • Provide general operational and administrative support as needed.

Qualifications

  • 1-2+ years of experience in an Administrative Assistant, Executive Assistant, Office Coordinator, or similar administrative support role.
  • Experience supporting C-suite executives, senior leadership, or executive teams.
  • Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent organizational skills with the ability to prioritize multiple projects and deadlines.
  • Outstanding written and verbal communication skills.
  • High level of professionalism, discretion, and attention to detail.

Compensation:

This role offers a pay rate range between $31-$33/hour plus a comprehensive benefits package!
