Job Description

Administrative Coordinator
The Panther Group is seeking an experienced Administrative Coordinator to support the Director of Athletics & Recreation and senior administrative leadership at a leading Boston higher education institution. This role serves as a key administrative partner, helping manage the day-to-day operations of the Athletics office while coordinating complex calendars, travel, meetings, special projects, and confidential information.

The ideal candidate is highly organized, professional, service-oriented, and comfortable managing multiple priorities in a fast-paced environment with a high level of discretion and independent judgment.
What You’ll Do
Office Management
  • Support the efficient day-to-day operation of the Athletics main office.
  • Coordinate office coverage and assist with reception and administrative operations.
  • Help manage office procedures, equipment, facilities, access, work orders, and guest protocols.
  • Provide administrative support for department operations and special projects.
  • Assist with training and day-to-day coordination of office support staff as needed.

Executive & Administrative Support
  • Provide direct administrative support to the Director of Athletics & Recreation and senior administrators.
  • Manage complex calendars and coordinate high-level meetings, events, and appointments.
  • Prioritize competing requests and identify and resolve scheduling conflicts independently.
  • Prepare meeting agendas, notes, and supporting materials.
  • Draft professional communications and correspondence as needed.
  • Conduct research and prepare reports and briefing materials for meetings and events.

Travel & Expense Coordination
  • Coordinate travel arrangements and prepare detailed itineraries and event information.
  • Research travel and event details to ensure leaders are fully prepared.
  • Reconcile travel expenses and related documentation.

Projects & Events
  • Support special projects and committee activities.
  • Coordinate logistics for special events hosted by department leadership.
  • Serve as a liaison between the Director’s office, senior leadership, and department staff to ensure effective communication.
  • Handle sensitive and confidential information with professionalism and discretion.
What We’re Looking For
  • At least 5 years of administrative experience.
  • Bachelor’s degree required.
  • Strong experience supporting senior leadership or executives.
  • Excellent organizational, communication, and interpersonal skills.
  • Proven ability to prioritize multiple competing tasks and deadlines.
  • Strong attention to detail and problem-solving abilities.
  • Ability to work independently, take initiative, and follow through.
  • Professional, customer-service-oriented approach.
  • Strong judgment and discretion when handling confidential information.
  • Comfortable working in a fast-paced, high-demand environment.
  • Proficiency with Microsoft Office and common administrative systems.
Preferred Qualifications
  • Experience working in higher education.
  • Previous experience supporting a college or university Athletics Department.
  • Experience managing complex executive calendars and travel.
  • Experience coordinating meetings, events, committees, or special projects.
Pay up to $30 per hour DOE
