Class Summary

Job Description

The position of Administrative Support Associate III will support the daily operations of the Animal Welfare and Enforcement Division, serve as the back-up to the Office & Customer Service Coordinator for open records requests, and oversee customer service staff, including task assignment, training, and policy compliance. Additional responsibilities will include coordinating office records, interpreting retention policies, maintaining files, handling special projects, and serving as a departmental liaison.

Essential Duties

  • Serving as a lead to staff, including assigning and monitoring work, providing direction, and overseeing the training of new front desk employees
  • Serving as a liaison to other departments, preparing special reports, and researching information
  • Assisting with developing, implementing, and maintaining compliance with county and department policies and procedures
  • Preparing monthly and daily shelter reports and shelter capacity reports
  • Providing administrative support, such as maintaining employee schedules, preparing paperwork for travel and training requests, and providing related support
  • Handling financial transactions, including deposits, change orders, cash journal entries, and monetary donations
  • Maintaining and stocking office supplies for the front desk area and conducting monthly inventory of supplies in the supply closet
  • Assisting with budgeting by tracking balances, researching discrepancies, and preparing financial reports
  • Performing advanced and basic office duties, such as copying, filing, faxing, typing standard documents, preparing, sorting, and distributing mail, and entering data

Other Job Requirements/Information

  • This job may require on-call rotation and emergency after-hours, weekends, and/or holidays.

Grade

The grade for this position is B231. Salary will be dependent on education and experience.

Effective 4/11/2023, this position is eligible for the Employee Referral Program.

Minimum Qualifications

  • High School Diploma or G.E.D. AND
  • One year of specialized or technical training in administrative support or related field
  • Four years of administrative support or related office experience
  • An equivalent combination of education and experience sufficient to successfully perform the essential duties of the job, such as those listed above, will also be considered.
