Position Summary

The Administrative Assistant serves as an extension of the Kitchen Saver branch office by providing comprehensive administrative and office support to department personnel, managers, supervisors, and executive staff. This role is responsible for facilitating the efficient day-to-day operation of the organization while consistently demonstrating the company's Essence Core Values and maintaining a high level of professionalism.

Essential Responsibilities

Communication and Call Management

  • Operate and answer the multi-line company switchboard for all affiliated companies.
  • Direct incoming calls to the appropriate departments or individuals in a professional and courteous manner.
  • Serve as a positive first point of contact for customers, vendors, and employees.

Administrative Support

  • Provide administrative support to all corporate departments.
  • Assist corporate executive staff with administrative and organizational tasks.
  • Process company correspondence, invoices, cancellations, and related documentation.
  • Maintain company records, logs, spreadsheets, and reports with accuracy and confidentiality.

Financial and Recordkeeping Support

  • Log and track company originals and important documentation.
  • Audit checks and credit card payments for accuracy and compliance.
  • Maintain administrative records and ensure proper documentation processes are followed.

General Office Operations

  • Perform general office duties including filing, faxing, copying, scanning, and document management.
  • Coordinate and maintain conference room schedules and meeting preparations.
  • Support office organization and operational efficiency.
  • Perform additional job-related duties as assigned to meet business needs.
