Position Summary

The Tenant Services & Events Coordinator is the friendly face and go-to resource for tenants, visitors, and the property management team. This role combines tenant service, event coordination, administrative support, and financial administration to help create a welcoming and well-managed property environment.

The Coordinator manages tenant requests, oversees conference center reservations and billing, maintains insurance compliance records, and helps plan tenant events and community programs. The ideal candidate is organized, customer-focused, detail-oriented, and enjoys building strong relationships while keeping day-to-day operations running smoothly.

Tenant Relations & Service Request Management

• Serve as the primary point of contact for tenant questions, requests, and concerns.
• Manage the work order system, ensuring requests are logged, assigned, and followed through to completion.
• Coordinate with engineering, janitorial, and security teams to ensure timely resolution of tenant issues.
• Add billable charges to work orders for tenant approval when applicable.
• Prepare monthly reports tracking work order activity and service trends.

Conference Center & Event Management

• Coordinate scheduling, reservations, and daily setup of the shared tenant conference center.
• Plan and coordinate tenant appreciation events, seasonal activities, and community programs.
• Work closely with vendors, including caterers, decorators, and AV technicians, to support successful events.
• Conduct routine inspections of event spaces and equipment to ensure a high-quality tenant experience.

Billing & Financial Administration

• Track conference center usage and prepare invoices for room rentals and equipment charges.
• Process property invoices, utility chargebacks, and other billing transactions accurately.
• Serve as the primary point of contact for departmental credit card purchases and related billbacks.
• Assist the Property Manager with accounts receivable tracking and follow up on outstanding balances.
• Manage office supplies, kitchen inventory, and event-related purchases.

Risk Management & Compliance

• Collect, review, and maintain Certificates of Insurance (COIs) for tenants and vendors.
• Monitor insurance expiration dates and follow up on renewals as needed.
• Ensure compliance with company insurance requirements.
• Assist with annual fire drills, emergency preparedness activities, and related communications.

General Administrative Responsibilities

• Program and manage fitness center and bike storage access for tenants.
• Monitor and respond to communications received through the property's general email account.
• Assist with scheduling routine maintenance services.
• Maintain organized electronic and physical filing systems.

Qualifications & Skills

• 2–4 years of experience in commercial real estate, hospitality, property management, or office administration.
• High school diploma required; Bachelor's degree preferred.
• Experience with property management systems such as MRI, Nexus, ETS, Cove, or similar platforms.
• Proficiency in Microsoft Office Suite, particularly Outlook, Excel, and Word.
• Strong customer service skills with the ability to build positive tenant relationships.
• Strong attention to detail and accuracy.
• Excellent communication, organization, and multitasking abilities.

We offer a competitive salary and benefits package, including health, dental, vision, life, short-term disability, and long-term disability insurance, as well as monthly parking, cell phone reimbursement, and tuition reimbursement. The salary range for this role is between $60,000 and $70,000, depending on the candidate's experience.
