Job Description

The Massachusetts League of Community Health Centers (League) was founded in 1972 as one of the country's first state Primary Care Associations (PCAs). Established under the same federal authorizing legislation as the health center program (Section 330 of the Public Health Service Act), PCAs are organized around a set of core functions and competencies that provide a framework for support and assistance to health centers and the communities they serve. The League is a non-profit 501(c)(3) organization registered as a public charity with the Secretary of the Commonwealth. It maintains a professional staff at its headquarters in Boston and its training center in Worcester.Position Summary:The Executive Assistant/Development Assistant provides high-level administrative and project support to the SVP of Development & External Affairs. This role blends executive support with hands-on assistance across fundraising, donor relations, communications, and member services activities that advance the Mass League's mission and support community health centers across the Commonwealth.Essential Functions: This role requires a candidate who has the ability to:Provide administrative support to the SVP including calendar management, scheduling, and correspondencePrepare briefing materials, meeting agendas, and follow-up notes for internal and external meetingsMaintain accurate donor and prospect records in the CRM/database and support gift processing and acknowledgement communicationsAssist with the preparation of sponsorship materials, donor stewardship communications, communications materials, membership communications, and reportsHelp coordinate fundraising events, donor cultivation events, and other Mass League events including the Annual Awards Gala and Community Health InstituteSupport coordination of media and community relations activities including preparation of materials for external presentations and partner meetingsProvide additional administrative support and project-based support for the SVP and the External Affairs team as neededEnters contract requests into the League's contract management system and prepares and submits vouchers to the finance department for external sponsorships and vendor invoicesCoordinates and collaborates with other Executive Assistants and Mass League departmentsManages confidential files, documents, and communicationsCompetencies/Skills:Committed to the League mission of promoting population health, social justice and diversity, equity, inclusion and belonging (DEIB)Ability to communicate professionally, concisely and effectively (English written and verbal)Organized and detail oriented; ability to multi-task and reprioritize as necessaryAbility to problem-solve effectively and efficientlyAbility to assess, evaluate and advise on potential riskAbility to conduct critical thinking and perform technical data analysis to develop effective solutionsBuilding and strengthening relationships with people from diverse backgroundActive listening using verbal and non-verbal techniquesDemonstrated proficiency with MS Office applications especially Word, Excel, and PowerPointDemonstrated proficiency with CRM software (e.g., Bloomerang, DonorPerfect, Raiser's Edge)Up-to-date knowledge of business and information technologyEducation/Experience:Bachelor's degree preferred; high school degree requiredThree to five years of experience providing administrative support to executive-level staffOne to two years of experience working on a development/fundraising team preferredExperience in a non-profit, health care or public policy setting preferredWhat We OfferThe Massachusetts League of Community Health Centers offers a comprehensive and competitive benefits package, including:Hybrid work schedule: 2 days in-office and 3 days remoteMedical, dental, and employer-funded HRA coverageEmployer-paid life, short-term, and long-term disability insuranceOptional supplemental life insuranceFlexible Spending Accounts (FSA)403(b) retirement savings plan with potential employer contributionTransit reimbursement programGenerous paid time off, paid holidays, sick leave, and additional leave benefitsBenefits eligibility and coverage may vary based on employment status and plan provisions.
