Student Health Centers (SHC) is a unit within Integrated Clinical Services (ICS). The mission of SHC is to facilitate access to comprehensive preventive mental and primary health care for Multnomah County school-age youth to keep them healthy and ready to learn. The Program operates 9 centers in coordination with five school districts: Centennial, David Douglas, Parkrose, Portland Public Schools, Reynolds and the School Based Mental Health Program of the Multnomah County Mental Health and Addiction Services Division. 

As the Float Office Assistant Senior, you will perform diverse and complex clerical duties supporting clinical services while independently managing and prioritizing multiple tasks. A core responsibility is ensuring program sustainability by gathering, verifying, explaining, and maintaining insurance coverage data to establish client accounts for billing. Success in this role requires utilizing independent judgment to plan and execute tasks, alongside the ability to connect effectively with students, school staff, families, and community members. Additionally, this float position is based at a home clinic, but will travel daily to provide front-desk coverage at any Student Health Center (SHC) site as needed. In this role, you will help evaluate clinic operations and report recommendations to leadership to improve processes, strengthen funding standards, and provide culturally appropriate services for our diverse communities.

This position requires bilingual language skills in Spanish and English languages. Language testing will be required.

As the Float Office Assistant Senior - Spanish KSA, you will: 

  • Create and maintain detailed spreadsheets and tracking records; coordinate, compile, evaluate and prepare information and data for complex and comprehensive reports using spreadsheets, databases and presentation applications

  • Verify insurance status according to procedure, Medicaid Management Information System (MMIS), Oregon Health Plan (OHP), ProvLink, third party

  • Contact parents or guardians regarding insurance information; refer clients, parents, or guardians for OHP screening as appropriate

  • Bill insurance or special handle visit processing according to SHC Program policies and procedures; connect with Health and/or Finance & Business Management staff for contract and billing requirements, exception requests, etc.

  • Communicate with students and/or parents/ guardians on payment status, needed actions or information, etc. for approval and resolution

  • Check in/out clients: verifying demographic information, snap shot and enter patient messages as appropriate 

  • Distribute appointment slips and appointment reminders; document failed appointments on Department Appointment Report (DAR); route telephone encounters to Support Staff or NP/CHN for direction 

  • Maintain scheduling templates per SHC Program guidelines

  • Assist with the design, implementation, monitoring and maintenance of program processes, procedures, program-related events, and systems to support leadership and staff 

  • Troubleshoot office equipment, orders supplies and equipment, and follow up on related issues

  • Maintain calendars and schedules of activities, meetings, and various events to support the clinic, student appointment schedules, staffing concerns, etc. 

  • Select, compile and evaluate materials, office forms and report formats for review and use for leadership evaluation; route lab and correspondence to NP/CHN for review and initials

  • Prepare all chart related documents to be scanned; file documents and records

Minimum Qualifications/Transferable Skills*:

  • Education/ training equivalent to the completion of the twelfth grade. 

  • Three (3) to six (6) years of relevant office experience.

  • Must be bilingual in Spanish and English languages. (Language testing is required.)

  • Must pass a fingerprint background check by Portland Public Schools Security Office.

  • Must pass a reference check.

  • Demonstrated ability to professionally and effectively communicate orally and in writing with a variety of people, answering questions and explaining technical information

  • Deep understanding of disparities that inform equity driven approaches to the work

  • Experience in pediatric and or adolescent health care settings

Work Location: This float position is based out of the Gateway Children's Center Service Building, but will travel daily to provide coverage at any Student Health Center (SHC) site as needed.
