ESSENTIAL DUTIES & RESPONSIBILITIES

Payroll Processing
Accurately process multi-company, multi-state payroll using the payroll system.
Enter pay data provided by supervisor into the system.
Collect and record necessary information for payroll calculation of expatriate employees and support the payroll process.
Monitor and maintain time & attendance records.
Prepare payroll reports for submission to the Accounting Department.
Extract 401(k) contribution data from the payroll system and upload it to the 401(k) administration platform.
Update payroll records with changes in personnel information, pay rates, deductions, and other relevant data.
Prepare and distribute earnings statements and W-2 forms.
Respond to employee payroll inquiries and resolve discrepancies through data collection and analysis.
Assist expatriate employees with income tax filing and provide necessary information for tax filing coordination.

Benefits Administration
Enter and update employee information in the benefits management system as needed.
Prepare benefits invoices, reconcile them with withholding reports, and process for management review and payment.
Conduct new-hire benefits orientation and assist Japanese expatriate employees with the enrollment process, including support for obtaining Social Security Number.
Prepare ACA reports for distribution to employees and submission to the IRS.

Administrative Support
Assist in preparing working visa application documents under supervision in coordination with the immigration law firm and maintain passports and admission records (I-94) for Japanese expatriate employees and their families.
Collect necessary documents from subsidiaries and prepare those required for J-SOX testing.
Communicate with subsidiaries regarding employee headcount reports and various surveys requested by the parent company, and prepare documents for submission.
File and maintain documents electrically.
Offer administrative support to Japanese expatriate employees regarding employment matters as needed.
Greet visitors as needed.

OTHER RESPONSIBILITIES
Maintain complete and open lines of communication with other personnel, function, or department to facilitate operations and interaction in the organization.
Keep supervisor informed of status and progress, ensuring that regular and periodical communication takes place.
Maintain professional and technical knowledge by attending educational workshops; reviewing professional publications; establishing personal networks and keeping abreast of industry trends and related compliance issues within the area of responsibilities.
Maintain professional conduct, attendance, and high ethical standards in the work place, complying with company's policies and procedures.
Perform other duties and responsibilities as required or requested by supervisor or management.
