The Laboratory Administrative Coordinator supports day-to-day operations of the HumanX Lab and the Cluster's research portfolio. Serve as the lab's internal coordination hub: track lab equipment, coordinate with external vendors for delivery and installation, coordinate with internal Dartmouth finance and procurement teams to keep requests moving, support lab logistics, and route internal communications. This role is not responsible for executing procurement, finance, or sponsored-research administration directly.

Description

The Cluster for Improving Healthcare Outcomes through Sensory Technology at Dartmouth invites applications for a Laboratory Administrative Coordinator. The Cluster advances research and translation at the intersection of deep biosensing, biological computing systems, and organoid platforms. The lead lab in this hire is the HumanX Lab for Cognitive Performance and Longevity.

We are seeking a highly organized coordinator to support the day-to-day operations of the lab. The Coordinator serves as the lab's internal coordination hub: tracking and managing lab equipment, coordinating with external vendors and collaborators for delivery and installation, coordinating with the internal Dartmouth finance and procurement teams to keep requests moving, supporting lab logistics, and routing internal communications across the team.

This is a full-time, onsite position, at Dartmouth in Hanover, NH, with a start date as soon as possible. The initial appointment is for one year with the possibility of renewal. The Coordinator will be hosted in the Department of Computer Science and supported by the Cluster.

Required Qualifications - Education and Yrs Exp Bachelors plus 2-3 years' experience or equivalent combination of education and experience Required Qualifications - Skills, Knowledge and Abilities

  • Bachelor's degree or equivalent professional experience.
  • Two or more years of administrative, operations, or coordination experience in a research, academic, healthcare, or comparable professional environment.
  • Excellent attention to detail and follow-through; ability to track many open items in parallel.
  • Strong written and verbal communication skills with internal staff, faculty, vendors, and external partners.
  • Proficiency with standard office and productivity tools (calendars, spreadsheets, document management).
  • Onsite presence in Hanover, NH, or or at the Cluster's Boston site (this position is not remote).

Preferred Qualifications

  • Experience at a research university or federally funded laboratory.
  • Familiarity with sponsored projects environments and coordination across internal finance, procurement, and sponsored research offices.
  • Experience supporting principal investigators or lab leadership in a fast-paced, multi-project setting.
  • Interest in sensor technology, wearables, neuroscience, or biomedical research.

Description

Lab equipment and vendor coordination

  • Track the lab's equipment inventory, including location, condition, and service status.
  • Coordinate with external vendors for equipment quotes, delivery scheduling, receipt, installation, and ongoing service.
  • Coordinate with the internal Dartmouth finance and procurement teams to keep purchase requests and vendor payments moving through the appropriate channels.

  • Serve as the lab's coordination point with internal Dartmouth offices, including Finance, Procurement, Sponsored Projects, Facilities, HR, and IT.
  • Route paperwork and follow up on lab-related requests within Dartmouth's internal systems on behalf of the Cluster Head and lab members.
  • Coordinate onboarding and offboarding logistics for new lab members, including space, equipment, accounts, building access, and orientation handoffs.

Day-to-day lab operations

  • Coordinate lab calendars, room and resource scheduling, and visitor logistics.
  • Book logistics for internal lab meetings, sponsor and collaborator meetings, site visits, and travel for the Cluster Head and lab members.
  • Support event coordination for workshops, seminars, and external visits hosted by the Cluster.
  • Support project management tasks as requested by the Cluster Head and the Senior Lab Manager.
  • Maintain organized lab records, meeting minutes, and decision logs as requested by the Cluster Head and the Senior Lab Manager.

  • Coordinate routine internal lab communications, distribution lists, and announcements.
