The Administrative Assistant serves as a key member of the District Office team, providing high-level administrative, operational, and communication support to the Superintendent, Assistant Superintendents, Directors, and District Office staff. This position serves as the first point of contact for the District Office, ensuring exceptional customer service while coordinating office operations, district communications, purchasing support, instructional systems, and administrative processes.The Administrative Assistant builds positive relationships with students, families, staff, community members, and outside agencies while maintaining strict confidentiality and supporting the district''s mission through efficient, organized, and professional service.
Essential Duties/Responsibilities:
District Office Operations
- Serve as the primary contact for the District Office by welcoming visitors, answering and directing phone calls, and maintaining office security procedures.
- Coordinate daily District Office operations, including opening and closing procedures, office organization, supplies, equipment, and general administrative support.
- Receive, process, distribute, and coordinate district mail, deliveries, packages, and interoffice correspondence.
- Collaborate with other District Office staff to ensure continuous front office coverage.
- Coordinate calendars, appointments, meetings, conferences, room scheduling, and district visitations.
- Prepare meeting agendas, minutes, correspondence, reports, presentations, and other administrative documents.
- Assist district leadership with a variety of administrative projects and special assignments.
Communications and Public Relations
- Coordinate, maintain, and update the district website, social media platforms, newsletters, and other district communication channels.
- Partner with the district''s communications and marketing consultants to ensure timely, accurate, and transparent communication with stakeholders.
- Assist in developing and publishing district-wide communications, announcements, marketing materials, and public information.
- Maintain consistency in district branding and communication standards.
- Update and manage District social media accounts.
Administrative Support
- Gather, organize, review, and maintain reports, records, forms, supporting documentation, authorizations, and other information required by district administrators.
- Prepare accurate reports for district leadership and state or federal reporting requirements.
- Analyze trends, identify discrepancies, and bring issues requiring administrative attention to appropriate district leaders.
- Handle routine inquiries and assist in resolving issues involving staff, parents, students, and community members while exercising sound judgment and professionalism.
Curriculum and Instructional Support
- Support the Director of Curriculum and Instruction with instructional purchasing, software renewals, and curriculum-related administrative functions.
- Assist with district instructional platforms including NextPath, Infinite Campus, Educator Effectiveness/Frontline, and other assigned instructional systems.
- Coordinate purchasing documentation, approvals, and tracking related to curriculum and instructional resources.
Human Resources and District Support
- Conduct volunteer and chaperone background checks in accordance with district procedures.
- Maintain confidential personnel, payroll, and student-related records.
- Serve as main point for registration of families
- Assist district departments with administrative needs, special projects, and operational support.
