    Program Summary

    The Marine Corps Prepositioning Program (MCPP) is based in Jacksonville, Florida. We provide maintenance and logistic services to the U.S. Marine Corps (USMC) in support of this program. For over 35 years we have planned, coordinated, and executed the maintenance and logistic services for ground combat vehicles and support equipment for USMC Expeditionary Forces.

    Job Summary

    Under limited supervision, provides administrative and clerical support focused on the coordination and facilitation of medical screening and medical clearance activities for employees and candidates. Performs non‑clinical administrative duties to support pre‑employment, periodic, and ongoing medical clearance processes required for hiring and workforce sustainment. The position operates within established policies, procedures, and guidelines and performs non‑clinical administrative functions only; it does not conduct medical evaluations, interpret clinical significance, diagnose conditions, provide treatment, or render fitness‑for‑duty or medical clearance determinations.

    Maintains close working relationships with internal stakeholders, candidates, employees, and external medical providers to ensure the timely collection, tracking, and processing of medical documentation in accordance with contract requirements, company policy, and Department of Labor Service Contract Act (SCA) standards.

    This position requires a high level of confidentiality, attention to detail, initiative, and the ability to manage multiple cases simultaneously in a fast-paced environment.

    Responsibilities include:

    • Provides administrative and clerical support for pre‑employment, periodic, and ongoing medical screening and clearance processes required for hiring and workforce sustainment.

    • Coordinates medical screening activities, including appointment scheduling, documentation collection, follow-up, and status tracking.

    • Conducts administrative screening of medical records using established guidelines, checklists, and program criteria to identify the presence or absence of required medical documentation, diagnoses, or conditions.

    • Reviews medical records for completeness, accuracy, and required content, including diagnoses, test results, dates, signatures, and provider documentation.

    • Identifies and flags potentially disqualifying medical information based on predefined contract or program criteria and escalates findings to designated medical, occupational health, or program authorities for further review.

    • Serves as an administrative point of contact for candidates and employees regarding medical screening requirements, documentation status, and procedural questions.

    • Interfaces with occupational health providers, clinics, and third-party vendors to obtain required records and verification.

    • Maintains accurate, timely, and confidential medical screening and clearance records in designated databases and tracking systems.

    • Tracks clearance milestones, expirations, and renewal requirements and proactively follows up to support workforce eligibility.

    • Processes and submits purchase requisitions and PCard transactions, ensuring accurate business justification, accounting codes, approvals, and supporting documentation

    • Coordinates with vendors, procurement, finance, and internal stakeholders to obtain quotes, resolve purchasing issues, and support procurement activities.

    • Maintains purchasing records and compliance documentation and participates in required procurement, requisitioner, and sustainable sourcing training.

    • Prepares administrative reports, summaries, and metrics related to clearance processing and compliance.

    • Ensures compliance with confidentiality, privacy, and information handling requirements when managing sensitive medical records.

    • Demonstrates initiative, attention to detail, and the ability to manage multiple administrative cases simultaneously in a fast-paced environment.

    • Performs other administrative duties as assigned in support of operational and contract objectives.

    Basic Qualifications:

    • High school diploma or GED.
    • Minimum of ten (10) years of administrative or clerical experience is required.
    • Minimum of one (1) year of administrative or clerical experience in a healthcare setting is required.
    • U.S. Citizen.

    Additional Qualifications:

    • One (1) year of direct patient care experience in an ambulatory care or occupational health setting is preferred.
    • Medical background sufficient to recognize medical terminology and diagnoses for administrative screening purposes.
    • Demonstrated ability to manage high-volume case tracking and documentation with accuracy and attention to detail.
    • Strong organizational skills with the ability to prioritize and meet deadlines.
    • Proficiency in Microsoft Excel, Word, and other database or tracking systems.
    • Ability to work independently with minimal supervision.
    • Excellent communication skills, both written and verbal.
    • Ability to comply with established methods, quality standards, and time schedules applicable to the position.

    Education, Certification, and Licensure:

    • Must be a graduate of an accredited course of study as a Certified or Registered Medical Assistant program to support administrative medical record screening and documentation review functions.

    • Acceptable Medical Assistant certifications include, but are not limited to:

    • American Association of Medical Assistants (AAMA)

    • National Healthcareer Association (NHA)

    • National Center for Competency Testing (NCCT)

    • American Medical Certification Association (AMCA)

    • American Medical Technologists (AMT)

    • An active Emergency Medical Technician (EMT) license may be used in lieu of a Medical Assistant certification.

    • Must possess and maintain current Medical Assistant certification or registration throughout employment.

    • Basic Life Support (BLS/CPR) certification is required and must be obtained within the first ninety (90) days of employment if not already held.

    • Must maintain current BLS/CPR certification as a condition of employment.
