Position Summary
This role provides clerical and administrative support, along with project assistance, for a government division/section. The Office Assistant serves as a professional point of contact for customers, staff, and visitors while supporting daily administrative operations.
Position Responsibilities
Greets and assists all visitors to the office
Receives, places, and transfers phone calls
Gathers information as needed to support inquiries and tasks
Types and edits forms, reports, memos, correspondence, and handbooks (word processing)
Takes meeting minutes when requested
Sets up and maintains files and manuals
Distributes records and reports as needed
Schedules appointments and meetings for staff
Manages incoming phone calls and drafts professional correspondence via email
Performs data entry, database searches, and basic coordination/administrative support activities
Tracks tasks, maintains accurate records, and follows up on outstanding items in a timely manner

Required Qualifications
High School Diploma or GED (education verification required)
At least 1 year of experience in a general office environment
Accurate typing skills
Proficiency in Microsoft Outlook (email and calendar), Word, and Excel
Strong analytical skills and attention to detail
Excellent oral and written communication skills
Ability to operate standard office equipment and computers
Preferred Qualifications
Demonstrated ability to work both independently and collaboratively in a professional office setting
Strong interpersonal, written, and verbal communication skills
Self-motivated with the ability to take initiative and manage priorities effectively
