PAY RATE: $18.29 - $19.25 Per Hour

JOB SUMMARY AND PURPOSE

The Office Assistant provides administrative and clerical support to the Payroll Department, including payroll records, document processing, employee inquiries, audits, and general office functions. Maintains confidentiality of payroll and personnel information and fosters cooperative working relationships with VOALA staff, workers, business partners, vendors, and the general public.

DUTIES AND RESPONSIBILITIES

  • Perform general office duties, including organizing documents for electronic archiving, photocopying, shredding, and email communications.
  • Answer phones, take messages, and direct inquiries to the appropriate staff.
  • Compute, record, proofread, and perform limited data entry from compiled information and records.
  • Compile worker and client information, prepare forms, and maintain records as needed.
  • Maintain confidentiality of employee payroll, compensation, tax, and personnel information.
  • Maintain payroll files, supporting documentation, and records in accordance with company policies and applicable record retention requirements.
  • Assist with payroll document collection, filing, scanning, electronic archiving, and document retention.
  • Assist employees with payroll forms, direct deposit requests, and routine payroll inquiries.
  • Prepare and organize supporting documentation for payroll audits, compliance reviews, and information requests.
  • Assist with payroll-related data entry and verification to ensure accuracy and completeness.
  • Perform other duties as assigned

Ability to work and deal with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs, which may include clients with homelessness, mental illness, substance abuse, recently released from incarceration, and other challenges. 

ESSENTIAL DUTIES:

MANDATED REPORTER

As service providers to the underprivileged and vulnerable in our community, all employees are considered Mandated Reporters, and must report any instance of physical or sexual abuse to proper authorities.

Qualifications

REQUIREMENTS:

  • Must be able to pass a fingerprint clearance, background check, including criminal history, personal references, employment and education verifications
  • Ability to perform under circumstances of possible emotional stress and conflicts dealing with difficult, uncooperative, and potentially aggressive clients as VOALA serves the neediest of the needy in our programs which may include clients with homelessness, mental-illness, substance abuse, recently released from incarceration and other challenges.

EDUCATION:

  • High School or GED and some general office/admin coursework

EXPERIENCE:

  • 6 months of office and clerical experience

PREFERRED QUALIFICATIONS:

  • Bilingual in English and Spanish (written and verbal).
