Job Title: Project Coordinator

Department: Project Management

FLSA Status: Non-Exempt

Reports to: Vice President of Operations

Salary: Commensurate with experience + Benefits

JOB SUMMARY:

Schedule's appointments, provides information, and otherwise relieves project management of clerical work, administrative and business detail. Familiar with a variety of the field's concepts, practices, and procedures. Relies on experience and judgment to plan and accomplish goals. Performs a variety of complicated tasks. Job functions require exercising independent judgment.

ESSENTIAL FUNCTIONS:

  • Job Folders - Set up, obtain, and maintain all documents required.
  • Submittal process.
  • Request Certificate of Insurance, Notice to Owner, Bid or performance bonds.
  • Permits - research legal owner, prepare permit application and check request, obtain permit.
  • Facilitate or obtain "Notice of Commencement".
  • Job Coordination - contact GC's office or Clients directly to resolve job issues as directed by Project Manager or as determined by self (PC).
  • Inspections - Schedule inspections with building departments.
  • Billing - set up Schedule of Values and performs AIA Billing for GC work.
  • Releases - prepare partials and finals for WRN, subs and vendors.
  • Payment Collection - contact customer as needed.
  • Operation and Maintenance Manuals - prepare Binder, Thumb Drives and Links.
  • Serve as administrative support to departments/offices by performing a wide variety of highly complex, responsible, and confidential office technical clerical and administrative duties.

JOB REQUIREMENTS:

  • For consideration, candidates must be able to successfully complete the Human Resources onboarding process and pass the Safety Orientation training without the assistance of an interpreter. This includes fully understanding the content delivered by the instructor and passing the associated exams independently. Employee must also be able to receive and understand instructions provided by their supervisor and communicate directly with them without the need for interpretation services.
  • For safety, operational efficiency, and compliance reasons, the ability to understand, communicate, and follow workplace safety instructions in English is required. Reasonable accommodations will be provided as necessary in accordance with applicable laws.

QUALIFICATIONS:

  • Strong verbal and written communication skills.
  • Proficiency in Microsoft Office, Excel, Bluebeam, and Pro Core.
  • Knowledge and ability to coordinate with vendors.
  • Excellent organizational skills and attention to detail.
  • Self-starter with the ability to work independently or within a team environment.
