    Description

    The Senior Administrative Assistant provides direct administrative support (including calendar management) to the Chair of Urology and advanced administrative and executive-level support to department leadership and faculty, ensuring the efficient coordination of daily operations and special projects. This position performs a broad range of administrative duties, including managing correspondence, booking travel, completing expense reports, scheduling, meeting support, document preparation, record maintenance, and office coordination.

    REQUIRED EDUCATION AND EXPERIENCE:

    • High school diploma/equivalent

    • 3 years of administrative support experience, including some multimedia experience

    PREFERRED QUALIFICATIONS:

    • Bachelor''s Degree

    • Experience in an academic setting

    • Experience in a healthcare setting, hospital, medical office or other provider organization

    REQUIRED KNOWLEDGE, SKILLS, ABILITIES/COMPETENCIES TYPICALLY NEEDED TO PERFORM THIS JOB SUCCESSFULLY:

    Administrative and Organizational Competencies

    • Advanced computer proficiency, including working knowledge of Microsoft Office applications such as Word, PowerPoint, Excel, Outlook, and electronic calendar systems.

    • Ability to prepare, edit, and format professional correspondence, reports, presentations, and other documents using standardized word processing, database, and spreadsheet software.

    • Strong organizational and time management skills with the ability to prioritize assignments, manage multiple tasks simultaneously, and meet established deadlines.

    • Excellent oral and written communication skills, with the ability to interact effectively, courteously, and professionally with individuals internal and external to the organization.

    • Ability to maintain strict confidentiality and exercise sound judgment when handling sensitive information.

    • Ability to work independently while collaborating effectively within a team environment and interacting with employees at all organizational levels.

    • Knowledge of and ability to operate standard office equipment such as telephones, computers, scanners, fax machines, and copiers.

    SPECIAL REQUIRED ABILITY FOR INCUMBENTS WHO HAVE CONTACT OR EXPOSURE TO ANIMALS OR ANIMAL TISSUES:

    Ability to complete and pass successfully the required occupational health screening referenced in the University's Animal Handler Health Surveillance Program on an annual basis.

    REQUIRED BACKGROUND CHECK, PHYSICAL, AND DRUG SCREENING FOR INCUMBENTS WHO HAVE CONTACT OR EXPOSURE TO ANIMALS OR ANIMAL TISSUES:

    Selected candidates must complete and pass a background check and an occupational health screening as a condition of employment. For identified jobs, a drug screening will also be required. The background investigation, required occupational health screening, and any required drug screening will be conducted after a conditional employment offer has been extended.
