JOB DESCRIPTION

Under the supervision of the Associate Director, Operations & Services, the Student Administrative Support Assistant II is responsible for handling a variety of routine and complex projects, duties, and responsibilities relative for the Department of Facilities Planning of the University Student Union (USU).

JOB DUTIES
• Monitors and maintains the annual budget for the Facilities Planning department, including preparing monthly and quarterly reports for review by the Associate Director, Operations and Services
• Assists with monitoring and maintaining the annual budgets for Capital Outlay, Major Repair and Replacement, and Major Purchases
• Monitors and maintains American Express (AMEX) expenses, including preparing monthly statements, travel expense reports, and using Concur software daily
• Assists in preparing information for furniture, fixture, and equipment purchases
• Assists in the preparation and update of the annual operations calendar
• Maintains construction documents, files, and binders
• Prepares, proofreads, and make corrections to committee minutes for BOD Facilities & Operations committee
• Assists with preparing public presentations and generating reports
• Gathers information relative to facilities operations and analyzes data from various sources
• Performs general office duties, including but not limited to greeting visitors, answering phones, transcribing notes electronically, photocopying, scanning, faxing, filing, developing and maintaining office systems, tracking information and data, and other related tasks
• Assists the Associate Director, Operations & Services with special projects as assigned
• Performs other related duties as assigned.

EDUCATION

Must be a currently enrolled CSUN student

EXPERIENCE

Previous related experience and/or specialized education required

• Ability to objectively evaluate own performance, including strengths and areas requiring improvement
• Must be able to remain calm under pressure and respond quickly and effectively to both major and minor emergencies, including earthquakes, civil disturbances, and hazardous materials incidents.

SUPERVISION

Supervision is provided by the Associate Director of Operations & Services.

TYPICAL WORKING CONDITIONS

Work is primarily performed in a temperature-controlled office environment. Daily contact with members of the campus community, including students, faculty, staff, administrators and guests, is required. The position is expected to handle/lift packages, equipment, and/or office supplies up to 50 pounds. In addition to regularly assigned work schedule Monday-Friday, must possess an ability and willingness to work some weekends, academic interim, and break periods as needed; must be flexible, adaptable, and readily able to adjust to changes in work environment.
