This position ensures operational excellence in move-ins while assisting the sales team in tours, CRM management, and community marketing activities. Occupancy & Sales Support<ul><li>Support achievement of community occupancy budget goals on a monthly basis through proactive coordination, follow-up, and relationship-driven service.</li><li>Provide warm, relationship-based customer service to prospective residents, adult children, families, and referral partners in alignment with organizational mission and values.</li><li>Be fully trained and prepared to conduct community tours, receive and organize deposits, and support sales activities as needed.</li><li>Enter, track, and maintain prospect records in the CRM system; create call-back tasks and appointments for the Director of Sales & Marketing. </li></ul>Move-In Coordination<ul><li>Assist in the coordination of all move-ins at the community following all pre-move-in and move-in procedures.</li><li>Support DSM as the liaison between residents, families, and community departments to ensure apartments, services, and hospitality are fully prepared on move-in day.</li><li>Assemble move-in binders and develop/complete new resident files.</li><li>Assist the DSM in facilitating completion and submission of move-in paperwork prior to move-in.</li><li>Provide or assist in coordinating new resident orientation following agreement signing. </li></ul>Occupancy Reporting & Communication<ul><li>Report move-in progress during daily stand-up meetings and weekly sales meetings in the absence of the DSM.</li><li>Produce and maintain daily occupancy reports, weekly tracking, and monthly summaries using designated formats and systems in the absence of the DSM.</li><li>Communicate daily with the Community Leadership Team regarding sales activity, move-ins, and apartment readiness. </li></ul>Marketing & Administrative Support<ul><li>Maintain inventory of marketing brochures, promotional materials, and move-in supplies.</li><li>Assist with promotional events, outreach activities, and email or mail campaigns as directed.</li><li>Maintain apartment readiness records and coordinate with internal departments to support timely move-ins. </li></ul>Culinary Support (Bethesda Standard)<ul><li>Ensure adequate daily coverage for meal service by communicating with the Culinary Services Director and/or Host/Hostess, including taking resident meal orders, providing beverage refills per resident or guest request, and assisting with cleaning, resetting, and preparation of the dining room between meal periods. </li></ul>Professional Responsibilities<ul><li>Attend all required training sessions, sales meetings, in-service meetings, and general team meetings.</li><li>Maintain confidentiality of resident information and uphold residents' rights at all times.</li><li>Perform other duties as assigned by the Director of Sales & Marketing. </li></ul>Managerial Breadth/Scope of Job There is no direct supervisory responsibility. However, the Sales Assistant must work closely with other department leaders to ensure an easy transition of all move-ins and tour schedules. Knowledge/Skills/Abilities <ul><li>Demonstrates a SERVANT heart and attitude by following our Mission Statement.</li><li>Strong organizational and coordination skills with attention to detail.</li><li>Excellent interpersonal communication skills with residents, adult children, families, and internal teams.</li><li>Working knowledge of CRM systems and Microsoft Office (Word, Excel, PowerPoint).</li><li>Ability to thrive in a lean, collaborative environment.</li><li>Professional, service-oriented demeanor.</li><li>Must maintain a current driver's license and comply with all requirements of our Auto Policy. </li></ul> Education/Experience Education: High School graduate or equivalent. College coursework preferred. Experience: Senior living or healthcare experience preferred but not required. Working Environment/Physical Requirements Position may require driving to outside referral sources' offices during all seasons of the year. Ability to lift 10-pounds frequently. Position requires sitting, driving, walking, and standing for long periods of time based on activity being performed.
