Job Title: Administrative Assistant Reports to: Office ManagerPurpose Of The Job:  Provides general office support and direct assistance to one or more staff members helping with many varied tasks, sometimes ongoing and sometimes situational in nature.Essential Functions/Responsibilities:<ol><li>Type and/or enter on computer, copy, distribute and file various documents as assigned.  Enter new cases and update existing cases on computer. </li><li>Answer telephone and greet office visitors, provide information and assistance, take messages and schedule appointments. </li><li>Redirect anti-social attitudes/beliefs and affirm pro-social attitudes and beliefs. </li><li>Be the community corrections representative in the court system when needed and answer all questions pertaining to community corrections that the court may have. </li><li>Assist the other staff with his/her duties when asked. </li><li>Collect, open, sort, and distribute mail to appropriate personnel, and process outgoing mail. </li><li>Scan all appropriate files into the Community Corrections computer system. </li><li>Organize DHB hearings. </li><li>Enter in necessary data into case management software such as community service hours, messages, or anything pertaining to a defendant on Steuben County Community Corrections. </li><li>Maintain cases in the case management system. </li><li>Conduct drug screens and PBT tests as needed and maintain those records. </li><li>Maintain the “Doing Your Community Service” sheets in the courts and the Community Corrections lobby. </li><li>Report any messages of significance to the appropriate people in an attempt to keep all staff up to date on current events. </li><li>Attend weekly staffing. </li><li>Other duties as assigned by immediate supervisor or Executive Director. </li></ol>Qualifications:      Education and/or Experience Required at Entry:  Office experience, High school graduate / GED       Skills, Abilities, Special Licenses or Certificate:  Multi-tasking, Organized, Self-Motivated, Basic Computer skills, Ability and Willingness to Learn.  Understand and use the principles of evidenced based practices as a guide in interactions with program participants.The above statements are intended to describe the general nature and level of the work being performed by people assigned to this work.  This is not an exhaustive list of all duties and responsibilities associated with it.
