Definition of Class
- Entry level staff worker performing varied assignments for an administrative superior which include analyzing administrative or staff operations/procedures. The position involves a staff relationship to an administrator and supervision of clerical positions with varying duties and responsibilities.
Nature of Work
- Studies/analyzes operational procedures, prepares detailed and comprehensive reports of findings, carries out administrative research assignments and performs occasional public relations duties. Other examples include but are not limited to: reviewing and replying to correspondence, assisting in the preparation of budgets and assisting administrative superiors in establishing and maintaining cooperative working relationships with other government agencies.
Duties & Responsibilities
- Receives, prioritizes and relays a wide range of client-related information from the public, social services agencies and public officials within confidentiality constraints.
- Researches background information/policies/regulatory requirements when necessary to provide sufficient and accurate information.
- Receives and screens telephone calls/visitors from the public, directs and re-routes callers/visitors to the appropriate staff person or directly provides the necessary information as needed.
- Approves billing for service providers as needed. Reviews billing from contracted providers to ensure they have all necessary supporting documentation.
- Assists program staff in the day-to-day operations of the Ongoing Department by clarifying procedures, policies and answering questions.
- Maintains Attendance on Demand for assigned clerical staff and is backup to the supervisors in the Administrator's absence.
- Assists the Director of Administrative Services and the Administrators of Ongoing Services in collecting, compiling, summarizing and reporting on a variety of data regarding audits, new policies, and updating more effective procedures regarding program staff.
- Assists with various departmental meetings by sending attendance requests, distributing information, taking and distributing meeting minutes.
- Maintains inventory of electronics assigned to Ongoing units in coordination with fiscal inventory clerk as needed. Assists with office supply orders, copiers, fax machines and postage machine requirements on a continual basis.
- Oversees that maintenance requests are followed through on in a timely manner. Meets with maintenance department personnel as needed.
- Participates in special projects and internal Agency committees as needed.
Knowledge, Skills, & Abilities
- The position requires some knowledge of principles and practices of public administration, governmental accounting, statistics, and public personnel administration. The Administrative Assistant I should be able to speak and write effectively, establish and maintain effective working relationships with administrative officials, other employees, and the public among other related administrative abilities.
Minimum Requirements
- High School Diploma or GED with Business Curriculum, and 1 year General Clerical Experience
Supervision Received
- Routine work is performed independently within established policies, procedures, and regulations. Direct supervision is received from the Director of Administrative Services and the Assistant Administrators of Ongoing and Placement through daily, in-person contacts, conferences, team meetings, and receipt and review of documents and reports.
Conditions Of Employment
- Required to provide and are subject to Pennsylvania criminal and child abuse clearances as well as an FBI fingerprint clearance prior to the start of employment.
