JOB DESCRIPTION

Position: Bilingual Administrative Assistant - Must have experience at PAHO
Status: Full-Time
Hours: Contract Position, 5 days per week, from 8:30-5:30 with hybrid office/telework

*Must speak fluent Spanish and English*

ESSENTIAL FUNCTIONS:
Under the direct supervision of the Contract Management Specialist, the incumbent will support the following:
1. Compliance, Documentation, and Reporting
a) Support the management of service and works contracts.
b) Maintain contract management tools and reporting mechanisms.
c) Follow up on the timely resolution of contract operational issues.
d) Maintain Standard Operating Procedures (SOPs).
2. Financial Transaction Processing and Invoice Management
a) Process and record financial transactions in PMIS, including requisitions, purchase orders, goods receipts, service entry sheets, vendor invoices, accruals, and prepaid expenses.
b) Review invoices and supporting documentation to verify accuracy prior to payment.
c) Reconcile vendor statements and resolve discrepancies in coordination with suppliers and internal stakeholders.
d) Process and reconcile GSO credit card transactions.
e) Perform other related duties as assigned.

Experience

Essential: Five years of administrative work.
Desirable: Two years of experience in an international organization would be an asset

Languages

Very good knowledge of English and Spanish.

IT Skills

Demonstrated ability to effectively use current technology and software, as well as Enterprise Resource Planning (ERP). Other IT skills and knowledge of software programs such as Microsoft Excel, Outlook, OneDrive, PowerPoint, Teams, SharePoint, and Word are considered essential.
