We are seeking a reliable, professional, and detail-oriented Receptionist & Administrative Assistant Support to be the face of our front office while also providing crucial administrative assistance to the Executive Administrative Assistant. This role requires someone who is highly organized, capable of managing front-desk operations and office logistics, and able to step in for executive-level support as needed. This is a full-time, onsite role in our Miami headquarters

Duties you will be responsible for:
Key Responsibilities
Reception & Front Desk
Greet visitors, clients, and staff with professionalism and warmth.
Answer and route incoming calls, manage voicemail system.
Maintain the appearance and function of the reception and shared areas.
Office & Facilities Coordination
Manage incoming and outgoing mail and package deliveries.
Monitor and maintain office supplies and kitchen stock; place orders as needed.
Coordinate with vendors (e.g., janitorial, pest control, office maintenance).
Ensure the office is clean, organized, and functioning smoothly.
Executive Assistant Overflow Support
Assist in booking travel and accommodation for executives or board members as needed.
Support conference and event coordination, including scheduling and logistics.
Help with preparation of board materials and other high-priority documentation.
Take on project-based administrative tasks, including light research and data entry.
Minimum Requirements
High school diploma or GED equivalent
1+ years of administrative or receptionist experience, ideally in a corporate setting.
Strong interpersonal and customer service skills; polished phone and email etiquette.
Proficient in Microsoft Office Suite and Google Workspace.
Experience with calendaring and travel coordination a plus.
The ability to multitask and maintain composure under pressure.
High attention to detail, proactive mindset, and team-first attitude.
