Coordination of meetings, seminars, conferences and coordinate travel for staff
Set up conference rooms for client meetings including, but not limited to, providing/ ordering food and beverages, technology set up, and possibly taking minutes
Effectively and accurately manage Outlook calendars on a daily basis, including coordinating meetings and proactively addressing any conflicts that arise
Perform clerical duties including, but not limited to, transcription, copying, scanning, mailing and filing
Perform duties as assigned by the market segment
Maintain records related to archiving of hard copies of office documents
Embrace change; maintain an open mind and is flexible and adaptable in the face of ambiguity and change
Create and submit expense reports for Principals (executive team)
Ability to work with confidential information and to apply maturity and discretion in daily operational role
Proof and edit all correspondence sent out of the office
Letterhead printing
Project Folder Set-up
Adhere to standard formatting for punch lists
Provide support for other administrative staff including reception relief, requiring a professional and friendly demeanor
An effective team member; support the team by pitching in at any level and effectively working across the organization to meet the needs of the business
Qualifications:
Bachelor's degree preferred
3+ years of administrative support or executive support experience
Microsoft 365 - Word, Excel, Outlook
