The Administrative Assistant provides support to one or more managers and/or directors through a variety of tasks related to organization, coordination, and communication. Responsible for confidential and time sensitive material.

  • Pay rate: $21 per hour.
  • Schedule: MON, TUE, THURS, FRI- 9AM-7:30PM

What you'll do as an Administrative Assistant

  • Provides administrative support for storage and warehouse operations

  • Process and maintain storage customer records and files.

  • Enter and update inventory transactions, receipts, inbound shipments, and outbound shipments in designated systems and spreadsheets.

  • Assist with monthly storage billing and customer invoicing as needed.

  • Review and organize inbound and outbound documentation, including Bills of Lading (BOLs), receipts, and inventory reports.

  • Monitor shared mailboxes and route requests to the appropriate personnel.

  • Assist with appointment scheduling and coordination of customer requests.

  • Respond to phone calls, emails, voice-mails, and written correspondence.

  • Coordinate and track department initiatives and projects; follow up on outstanding action items and provide status updates to management.

  • Gather, prepare, and distribute weekly and monthly reports and operational data.

  • Compile documents, reports, and supporting information as needed.

  • Maintain accurate files, records, and document control processes.

  • Support inventory audits and reconciliation efforts.

  • Create, confirm, and coordinate customer orders and shipments.

  • Track and reconcile department expense reports.

  • Perform general administrative duties, including filing, scanning, photocopying, and record retention.

  • Maintain sensitive and confidential information.

  • Perform other duties as assigned.

Qualifications you'll bring as an Administrative Assistant:

  • High School Diploma or equivalent.
  • College coursework, Associate's Degree, or business school training.
  • Experience in an administrative or clerical role.
  • MS Office experience.
  • Strong oral and written communications skills.
  • Ability to work in a diverse and fast paced environment.
  • This position requires the ability to read, write, and understand English at a level sufficient to perform job-related tasks effectively and safely. This includes understanding work instructions, safety protocols, and communications essential to the role. The requirement is directly related to the nature of the job and ensures compliance with workplace safety and operational standards.
