Administrative Assistant / Office Manager

Washington, DC | Hybrid: Remote Mondays & Fridays; On-site Tuesday–Thursday $43/hour

Role Overview:

We are seeking an experienced, proactive Administrative Assistant / Office Manager to support the Washington, DC office. This role is ideal for a highly organized professional who thrives in a fast-paced corporate environment, enjoys multitasking, and takes initiative. The successful candidate will be a collaborative team player who is eager to learn, grow, and contribute to a well-run office.

Key Responsibilities:

Provide comprehensive administrative and office support, including:

  • Coordinating business travel arrangements and managing travel and expense reimbursements using Concur
  • Submitting, tracking, and managing reimbursement requests and expense payments
  • Maintaining team contact lists and distribution groups
  • Scheduling and hosting meetings (in-person and virtual)
  • Preparing reception rooms for external guests and arranging catering or restaurant reservations
  • Ordering office supplies, business cards, and handling procurement requests through Coupa
  • Coordinating building maintenance requests as needed
  • Handling document delivery, copying, scanning, filing, mail, and packages
  • Maintaining and updating the office handbook
  • Supporting ad-hoc administrative requests as they arise
Qualifications & Skills:
  • Previous experience in an administrative or office support role, preferably within a corporate environment
  • Hands-on experience with Concur (travel booking and expense management)
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint, Access) and Outlook
  • Strong organizational skills with exceptional attention to detail
  • Ability to prioritize, multitask, and meet deadlines in a fast-paced setting
  • Excellent written and verbal communication skills
  • Collaborative, flexible, and professional demeanor with strong interpersonal skills
Preferred Qualifications:
  • Bachelor's degree preferred
  • Japanese language proficiency (reading, writing, and speaking) is a plus, but not required
