Job Overview:
Search Solution Group is seeking a Contract Administrative Assistant on behalf of our client, a financial services and fintech company. The Contract Administrative Assistant serves as a critical support resource for executive leadership and key departments across the organization. This highly visible role provides direct administrative support to the CEO while assisting department leaders with operational, HR, and office administration responsibilities. The ideal candidate is proactive, highly organized, resourceful, and capable of managing multiple priorities in a fast-paced environment while maintaining professionalism, discretion, and exceptional attention to detail.
Key Responsibilities:Executive & Leadership Support
  • Provide comprehensive administrative support to the CEO, including calendar management, meeting coordination, travel arrangements, correspondence, reporting, research, and special projects.
  • Support department heads with scheduling, documentation, project coordination, and administrative tasks as needed.
  • Prepare, proofread, and format presentations, reports, policies, procedures, and business communications.
  • Develop and maintain organizational charts, process flow diagrams, and standard operating procedures.
  • Coordinate internal and external meetings, including agendas, materials, logistics, and follow-up actions.
  • Handle confidential and sensitive information with the highest level of discretion and professionalism.
Office Administration
  • Manage day-to-day office operations, including office supplies, vendor relationships, and facility coordination.
  • Serve as a primary point of contact for office-related inquiries and administrative support.
  • Maintain an organized, professional, and welcoming office environment.
  • Manage incoming and outgoing correspondence and route communications appropriately.
  • Assist with planning company events, team meetings, and employee engagement activities.
Human Resources Support
  • Assist with onboarding activities, including scheduling, documentation, and new hire coordination.
  • Maintain employee records, HR documentation, and organizational charts within company systems.
  • Support employee engagement programs, internal communications, and recognition initiatives.
  • Coordinate job posting activities, candidate scheduling, and recruiting support functions as needed.
  • Assist with HR compliance and documentation management.
Requirements Include:
Education:
  • Associate's or Bachelor's degree in Business Administration, Communications, Human Resources, or a related field preferred.
Experience:
  • Minimum of 5 years of experience in an Administrative Assistant, Executive Assistant, or similar support role.
  • Experience supporting executive-level leadership and multiple stakeholders preferred.
  • Experience within banking, financial services, or fintech environments strongly preferred.
  • Experience assisting with HR administration and onboarding activities is a plus.
Skills:
  • Advanced proficiency in Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Visio.
  • Strong experience with Zoom, Microsoft Teams, Slack, and AI productivity tools such as Claude.
  • Familiarity with project management tools such as Asana, Monday.com, or similar platforms.
  • Excellent written and verbal communication skills.
  • Strong organizational, multitasking, and prioritization abilities.
  • Ability to create professional process documentation, workflows, and organizational charts.
  • Strong attention to detail and problem-solving capabilities.
Certifications:
  • Professional administrative certifications are a plus but not required.
Knowledge:
  • Understanding of executive-level administrative support functions.
  • Knowledge of HR processes, onboarding procedures, and employee documentation practices.
  • Familiarity with office administration and vendor coordination.
  • Working knowledge of banking, financial services, or fintech industry operations is highly desirable.
  • Understanding of confidentiality requirements and professional business communications.
