We have an opportunity for an Administrative Assistant to join our HOLE team. The Administrative Assistant plays a central role supporting senior leaders at our corporate office. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment.

This position is located at our corporate headquarters overlooking the beautiful waters of Tampa Bay.

Key Responsibilities

  • Schedule and prepare for internal meetings as well as meetings with vendors, customers, or business partners
  • Coordinate frequent business travel and proactively adjust itineraries around travel delays
  • Screen calls appropriately with excellent phone etiquette
  • Maintain and organize documents with attention to accuracy and confidentiality
  • Manage several work projects simultaneously: tracking due dates and following up to ensure timely completion
  • Prepare, proofread, and format correspondence, documents, and data
  • Assist executive leadership with their personal travel, calendar, and events
  • Provide general administrative support to corporate leadership, including copying, scanning, mailing, and document assembly

Qualifications

  • Minimum 5 years of administrative experience required; experience in corporate office or professional office strongly preferred.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook. PowerPoint) required
  • Exceptional organizational skills and attention to detail
  • Proven ability to multi-task and manage competing priorities
  • Excellent verbal and written communication skills
  • Ability to handle sensitive and confidential information with absolute discretion
  • Availability outside of standard office hours to support travel changes or other time-sensitive tasks
  • Notary Public or willingness to obtain the certification
