Administrative Assistant

We are seeking a highly organized, proactive, and relationship-driven Administrative Assistant to support our CFO and CMO. This position requires a polished professional who excels in fast-paced environments, manages sensitive information with discretion, and collaborates seamlessly across multiple teams and global stakeholders.

Key Responsibilities

Executive Support & Calendar Management

  • Manage and coordinate complex, high-volume calendars across two global corporations.
  • Anticipate scheduling needs, prioritize meeting requests, and ensure efficient time allocation.
  • Serve as a primary liaison between the SVP and internal/external partners.

Travel Coordination

  • Arrange end-to-end domestic and international travel, including flights, lodging, transportation, and itineraries.
  • Ensure all travel details align with executive preferences and organizational guidelines.

Event & Off-Site Planning

  • Plan, coordinate, and facilitate team off-sites (primarily in San Francisco), including venue selection, vendor management, agenda support, and day-of logistics.
  • Partner with cross-functional teams to ensure seamless execution.

Presentation & Documentation Support

  • Create, update, and refine presentations—primarily in Google Slides—for internal and external audiences.
  • Assist with light project coordination, documentation, and team communications as needed.

Qualifications:

  • Proven experience supporting senior leadership in a fast-paced, cross-functional corporate environment.
  • Exceptional communication skills and the ability to build trusting relationships across multiple teams and organizations.
  • Highly collaborative, representing the SVP with professionalism, warmth, and a relationship-focused approach.
  • Strong organizational and prioritization skills with meticulous attention to detail.
  • Proficiency with Google Workspace (Google Slides, Docs, Sheets, Calendar) and other collaboration tools.
  • Ability to handle confidential information with discretion; NDA required.
