Early-stage, mission-driven startup focused on transforming the daily human experience is looking for an Executive Assistant to support the CTO/President. In this role, you'll provide high-level support to the CTO, including complex calendar and travel management, meeting support, and operational projects, while also pitching in on office operations as the team grows. There will also be personal support to the CTO. This Executive needs someone who truly cares — about doing things right, about the quality of every output, and about making his life easier so he can focus on what matters most. Someone warm, bright, deeply committed, and able to exercise sound judgment independently without cutting corners. This is fully in-office, based in SF Mission Bay. 150-200K DOE + equity, parking, meals, and great benefits!
Responsibilities:
Serve as a trusted partner to the CTO/President, ensuring his time, energy, and focus are protected and well-directed.
Manage the CTO's busy calendar, coordinating meetings with stakeholders, prioritizing commitments, and adjusting the schedule as needs shift.
Anticipate executive and operational needs, proactively identifying gaps and resolving issues.
Provide meeting preparation and support, ensuring the Executive is fully briefed for every meeting with relevant context, agendas, and materials prepared in advance.
Coordinate domestic and international travel, including itineraries, logistics, and schedule adjustments.
Support operational workflows, invoicing, and ongoing process improvement initiatives.
Collaborate with internal teams, external partners, and vendors to support business operations.
Provide light support to the day-to-day office needs.
Provide personal coordination support to the CTO/President, including bill payments, food and household supply ordering, etc.
Light support to other Executives as needed.
Qualifications:
5+ years of Executive Assistant experience supporting founders, CEOs, CTOs, or C-suite leaders.
Experience working in a fast-paced or scaling organization.
Proactive problem-solver who anticipates needs and takes initiative.
Strong ability to think ahead, identify gaps, and take ownership with minimal direction.
High EQ and sound judgment — understands when to move independently and when to check in, and takes pride in the quality and thoughtfulness of every output.
Highly organized with strong attention to detail and the ability to manage competing priorities.
Curious and improvement-oriented, with a willingness to evaluate and refine processes.
Highly committed and present, someone who goes beyond the immediate ask and shows up fully for their executive and team.
Strong business awareness with the ability to adapt communication style and remain composed under pressure.
Tech-savvy. Familiar with Google Workspace, Slack, AI tools, and other similar platforms.
