We are seeking a dedicated Executive Recruiting Coordinator to join our team and help scale and improve the candidate experience. This role is pivotal in delivering a “white glove” service to candidates and stakeholders, ensuring seamless interview scheduling and operational excellence. The ideal candidate thrives in a large-scale, matrixed environment, brings a proactive and outgoing personality, and takes ownership in shaping and developing the coordinator function.
Candidate Experience: Create a high-touch, professional experience for executive-level candidates and stakeholders.
Interview Scheduling: Coordinate all aspects of candidate interviews, including sending invites, booking rooms, and organizing video conferencing (Teams, dial-in details).
Agenda Preparation: Develop and distribute professional interview agendas to all parties.
Workflow Management: Maintain clear hiring workflows by updating candidate statuses in the applicant tracking system (Workday ATS preferred).
Recruiter Partnership: Build strong relationships with executive recruiters and hiring teams, ensuring open communication.
Administrative Support: Provide support for process improvement projects and other ad-hoc duties within the talent acquisition team.
Process Optimization: Actively contribute ideas to improve scheduling workflows and overall recruiting operations.
Experience: 3+ years as a recruiting coordinator, ideally in a large-scale, matrixed environment.
Technical Skills: Experience with applicant tracking systems and interview scheduling tools (Workday ATS preferred).
Professionalism: Highly organized with exceptional attention to detail and strong written/verbal communication skills.
Mindset: Independent, proactive, and creative with a “five-star service” mentality. Calm under pressure with a positive, can-do attitude.
Personality: Energetic, outgoing, and eager to roll up your sleeves to contribute across the recruiting process.
