
Senior Administrative Assistant
This Administrative Assistant position offers $37-$38/hour and is based in Boston with a hybrid schedule (Monday through Thursday onsite, Friday remote). Hours are 8:30 AM to 5:00 PM with a 30-minute lunch or 8:30 AM to 5:30 PM with a 1-hour lunch. This role supports senior leaders within a global investment management/financial services organization and requires strong administrative, calendar management, and coordination skills. The assignment is expected to last 6+ months with potential longer-term opportunities.
Responsibilities:
- Provide administrative support including calendar management, correspondence, meeting coordination, expense reporting, invoice processing, and contract tracking.
- Manage complex Outlook calendars and schedule meetings.
- Coordinate domestic and international travel arrangements.
- Organize team events, onsite meetings, offsites, and outings.
- Prepare meeting materials, presentations, and follow-up documentation.
- Track tasks and support departmental projects.
- Handle confidential and time-sensitive information with discretion.
- Provide backup support for administrative staff and reception coverage as needed.
Qualifications:
- 4+ years of administrative or professional office experience preferred.
- College degree and/or equivalent relevant work experience.
- Strong experience managing complex calendars in Outlook.
- Experience supporting executives or senior leadership teams.
- Board meeting preparation experience strongly preferred.
- Event planning and coordination experience a plus.
- Exceptional organizational, prioritization, and multitasking skills.
- Strong verbal and written communication abilities.
- High attention to detail and ability to thrive in a fast-paced environment.
- Professional, collaborative, and team-oriented approach.
- Proficiency with Microsoft Outlook, Word, Excel, and PowerPoint.
- Stable work history with no frequent job changes preferred.
