Job Overview: 

The HR Coordinator works closely with HR management to handle clerical transactions, communication, and problem-solving related to routine tasks, projects, policies, and procedures within core HR services, processes, and programs. They maintain accurate employee records in both electronic (HR database) and hard copy formats and offer assistance to other department members as required.

Compensation: $23-$25

FirstService Residential will compensate the successful candidate in accordance with the posted range. The salary or wage paid to the successful candidate will be commensurate with experience, education, and specific job responsibilities. For positions designated at a client's property, the salary or wage will also be premised upon the client's directive. The base pay range is subject to change and may be modified in the future.  

Job Responsibilities

Includes the following. Other duties may be assigned.

  • Assists the department in carrying out various human resources programs, projects, and procedures, and manages correspondence for associates.
  • Serves as a liaison with payroll to ensure new hires, terminations, pay changes, and other related services are administered appropriately.
  • Maintains Human Resources Information System records and compiles reports from the database as needed.
  • Verifies 1-9 documentation and maintains compliance.
  • Assists HR leaders with various research and/or special projects.
  • Manages company policies and procedures with assistance from HR Director and/or VP, of HR.
  • Act as the primary contact for the HR Team and perform customer service functions by answering associate requests and questions or directing associates to the correct point of contact.
  • Maintain knowledge of trends, best practices, regulatory changes, and new technologies in human resources, talent management, and employment law.
  • Support the onboarding process of new associates including leading new hire orientation.
  • Responsible for employee files, data retention, and maintenance of employee files.
  • Acts as backup for various areas of HR as needed.
  • Manages compliance reports and compliance education.
  • Perform any range of special projects, tasks, and other related duties as assigned

Skills & Qualifications

  • Demonstrate a strong understanding of general HR practices.
  • Excellent organizational and written and verbal communication skills.
  • Self-motivated, resourceful, and able to work independently with minimum supervision.
  • Must be able to multi-task and have exceptional follow-up skills.
  • Must play an integral part in building a cohesive HR team with the skills necessary to successfully execute the departmental/company objectives and strategies.
  • Strong computer skills (Excel, Word, PowerPoint, Outlook)
  • Ability to work well under pressure and remain professional and tactful in tense situations.
  • Ability to look at issues and provide objective recommendations for resolution.
  • Ability to work with and retain highly confidential information.
  • Ability to be flexible and be able to move from one job to the next depending on ever-changing priorities.

Education & Experience

  • Bachelor's Degree preferred.
  • 1-2 years of human resources experience or well-developed administrative skills.

  • Must be able to sit for extended periods.
  • Must have finger dexterity for typing/using a keyboard.
  • Talking and hearing occur continuously in the process of communicating with associates.
  • This is a full-time position with typically scheduled hours, Monday through Friday, 8:00 a.m. – 5:00 p.m.  May be required to work overtime as needed and approved by the supervisor.  Consistent and regular attendance is required.
