Summary of Job Duties: Human Resources Fiscal, Purchasing, and Contract Support - Processes accounts payable and related fiscal transactions for County Human Resources (i.e., invoices, purchase orders, blanket purchase orders, encumbrances, department credit card transactions and reconciliations, interfund transfers, revenue receipts, reimbursements, and vendor documentation); reviews transactions and supporting documentation for accuracy, appropriate coding, required approvals, available funding, and compliance with established procedures; assists with monitoring departmental expenses and account activity, updates tracking tools, prepares routine expenditure information, and promptly notifies management of discrepancies, unusual activity, or potential funding concerns; monitors payment schedules, outstanding transactions, and required documentation and initiates follow-up to support timely processing; supports purchasing activities after leadership has obtained required quotes by assembling and submitting documentation, monitoring approval and processing status, following up with appropriate parties, and keeping staff informed of progress or delays; maintains a current list of assigned HR service contracts and tracks expiration and renewal dates, required documentation, and applicable review timelines; provides advance reminders to management and follows up on outstanding actions to help ensure needed services remain in place; researches discrepancies, resolves routine fiscal and purchasing issues within established procedures, and refers exceptions or matters requiring approval to management; maintains accurate fiscal records and responds to routine fiscal reporting, audit, and documentation requests. County Administration Administrative and Reception Support - Provides approximately four hours per week of routine administrative and reception support for assigned County Administration offices; greets and directs visitors; answers, screens, and routes telephone calls and general inquiries; receives and distributes mail and deliveries; assists with scheduling, meeting preparation, copying, scanning, filing, data entry, routine correspondence, records organization, and supply requests; maintains confidentiality and refers non-routine or sensitive matters to the appropriate staff member.
