DUTIES AND RESPONSIBILITIESYou will support and coordinate legal work across multiple areas, including:Records requestsClaims and pre-litigation mattersContractsLitigationCompliance and HR-related mattersUrgent and ad hoc legal issuesResponsibilitiesManage and monitor all legal requests through a centralized intake systemEnsure matters are properly captured, categorized, and trackedMaintain accurate records of status, deadlines, and documentationDrive follow-ups and ensure timely progression of all mattersCoordinate across internal teams (Operations, HR, Compliance) and client facilitiesSupport document flow and logistics with outside counsel and insurersDraft, review, and revise a variety of legal documents; manage templates and support contract execution workflowsManage litigation and employment-related claims, including investigations/fact-finding, file review, discovery coordination, and matter trackingOrganize and maintain litigation, claims, and contract files; prepare timelines, summaries, and document sets for internal and outside counsel reviewCoordinate records requests, subpoenas, and document production workflows with internal and external stakeholders and outside counselSupport claims documentation, insurance reporting, and communication with insurers and external partiesAssist with compliance and regulatory support, including filings, amendments, and required paperwork with regulatory bodiesProvide administrative support to in-house counsel (e.g., scheduling, correspondence, file organization) and act as a point of contact for departmental document tracking and updatesCollaborate cross-functionally (e.g., HR, Compliance, Operations) and support ongoing and special legal projects, including legal research as neededThe above listing of duties and responsibilities are not intended to be all-inclusive but rather to serve as a description of the range of duties and general nature of the position. KNOWLEDGE, SKILLS, ABILITIES & QUALIFICATIONSBachelor's degree in a related field or equivalent experienceAt least 5 years of experience as a paralegal, legal coordinator, executive legal assistant, or similar role; law firm and/or in-house litigation experience preferredEmployment law experience required (minimum 1 year)Knowledge of civil procedure and experience supporting discovery requestsExperience supporting litigation, claims, and/or contract workflows; health care industry experience preferredStrong organizational skills with the ability to manage complex cases/projects, multiple priorities, and deadlines; strong follow-through and attention to detailProficiency with Microsoft 365 applications, including Teams, Sharepoint; experience with case management or ticketing systems (Zendesk or similar) a plusParalegal Certificate preferred but not requiredWhat Makes You SuccessfulYou don't let things fall through the cracksYou are proactive and persistent with follow-upsYou are comfortable working within structured systems and processesYou know when to escape and when to keep things movingRole StructureReports directly to the General CounselOperates within a structured legal operations systemSalary Range: $75,000 - $85,000.00* based on experience*The salary range is the one that Pharos Admin Services reasonably expects to pay for this position.
