Job Description

Description of Service Opportunity:

Excel Tutoring is Cambridge Public Schools' in-person, after-school tutoring program, designed to provide additional, targeted academic support to students who need it most. Students work in small groups with consistent tutors in either literacy or math.

The Site Coordinator is the school-based operational point person for Excel Tutoring. Site Coordinators help create a welcoming, organized, and safe after-school experience so students and tutors can focus on learning. They coordinate the day-to-day logistics of the program, including student arrival and dismissal, attendance, snacks, family communication, staff sign-in, and troubleshooting.

Excel offers two tutoring sessions during the school year. Site Coordinators may work one or both sessions. Tutoring takes place on Tuesdays and Thursdays from school dismissal through late-bus dismissal.

What you will do

Serve as the school's operational point person for Excel Tutoring and help ensure the program runs smoothly each tutoring day.

Coordinate student transition from the school day into tutoring, including gathering students, distributing snacks, and helping students get to their assigned tutoring spaces.

Ensure safe, organized arrival, dismissal, late-bus, and family pick-up procedures.

Maintain accurate student attendance and staff sign-in records and follow up promptly when attendance concerns arise.

Communicate with families and caregivers about program logistics, attendance, schedule changes, and other operational updates.

Support tutors with day-to-day logistical needs, including room access, materials, student transitions, and unexpected issues.

Maintain the school's Excel Tutoring Hub and ensure school-specific operational information is current and accessible to the appropriate staff.

Review staff sign-in information regularly and help ensure records are complete for payment processing.

Coordinate with the school-based Lead Tutor/literacy or math coach, who leads the instructional aspects of the program, when student or tutor concerns require instructional follow-up.

Communicate operational needs, supply requests, or unresolved issues to district program staff.

Attend required professional learning or program meetings, as applicable.

Provide substitute coverage when tutors are absent, as needed and when appropriate (paid at the applicable lead teacher rate).

Role Boundaries

The Site Coordinator leads school-based operations. The Lead Tutor/literacy or math coach leads student selection, instructional grouping, materials, progress monitoring, and tutor coaching. The Site Coordinator and Lead Tutor work closely together, but the Site Coordinator is not expected to design tutoring instruction or independently make instructional decisions for tutoring groups.
