HR Assistant II

Job Description:
Our client is seeking an experienced HR Assistant II to support daily human resources operations in a fast-paced, employee-focused environment. This role serves as a key resource for employee inquiries, onboarding coordination, HR data management, employee engagement activities, compliance support, and reporting. The ideal candidate will combine strong administrative and customer service skills with HR systems experience, advanced Excel capabilities, and the ability to manage multiple priorities while maintaining strict confidentiality.
This position works closely with HR Business Partners and leadership teams to ensure efficient HR service delivery, a positive employee experience, and compliance with company policies and employment regulations.
Responsibilities:
- Serve as a primary point of contact for employee inquiries regarding policies, benefits, procedures, and workplace programs.
- Monitor and manage shared HR inboxes, tracking and resolving employee requests in a timely and professional manner.
- Escalate sensitive or complex employee matters to appropriate HR leadership.
- Coordinate and support employee engagement initiatives, recognition programs, training sessions, company meetings, and special events.
- Facilitate new hire onboarding activities including orientation scheduling, onboarding documentation, and employment verification processes.
- Create and maintain training materials, presentations, internal communications, and HR documentation.
- Maintain employee records within the HRIS/HCM platform and process routine employee data changes.
- Compile, analyze, and distribute HR-related reports using Excel and HR systems data.
- Support HR Business Partners with performance review cycles, benefits administration activities, audits, and other HR initiatives.
- Assist with HR compliance efforts, employee file audits, and process documentation.
- Identify opportunities to improve administrative workflows and operational efficiencies.
Required Skills:
- High school diploma or equivalent required; Associate's degree or higher preferred.
- 2-4 years of experience in Human Resources, including HR Assistant, HR Coordinator, HR Specialist, HR Representative, or HR Generalist responsibilities.
- Experience supporting employee onboarding programs and employee engagement initiatives.
- Experience working closely with HR Business Partners, managers, or leadership teams.
- Advanced Microsoft Excel skills including:
- Pivot Tables
- VLOOKUPs/XLOOKUPs
- Reporting and data analysis
- Data organization and formatting
- Experience working with HRIS/HCM systems such as ADP or similar platforms.
- Strong proficiency with Microsoft PowerPoint and Canva (or similar design tools) for creating training materials and communications.
- Experience maintaining confidential employee information and records.
- Knowledge of HR policies, procedures, and employee support practices.
- Strong verbal and written communication skills.
- Ability to manage multiple priorities with strong attention to detail.
Preferred Skills:
- Experience in healthcare, regulated industries, or highly compliance-driven environments.
- Experience supporting local and remote employee populations.
- Knowledge of employment regulations including:
- FMLA
- ADA
- EEO
- State and Federal employment laws
- Experience coordinating internal events, meetings, and employee recognition programs.
- Experience with employee surveys, engagement programs, and workplace culture initiatives.
- Process improvement and SOP documentation experience.

Work Environment:
- Full-time schedule, Monday-Friday.
- Standard business hours with occasional evening or weekend support for special projects or events.
- Local travel between nearby office locations may be required.
- Primarily office-based role with regular interaction with employees, managers, and HR leadership.
