Description

Careerscape is recruiting on behalf of our client for an entry-level, fully remote Office Coordinator to help keep day-to-day operations running smoothly. This is a great opportunity for an organized self-starter who wants to build a career in office administration and operations support with a growing organization.

Day to day, you will juggle scheduling, correspondence, vendor coordination, and light bookkeeping tasks, all while working closely with a small, supportive team. People who thrive in this role are proactive communicators who enjoy variety, don't mind switching between tasks, and take pride in keeping things organized even when things get busy.

Responsibilities

  • Manage calendars and schedule meetings across multiple time zones
  • Serve as the first point of contact for internal and external inquiries
  • Maintain digital filing systems and ensure documents are organized and accessible
  • Coordinate with vendors and suppliers to order office and remote work supplies
  • Assist with onboarding new hires including paperwork and equipment coordination
  • Track expenses and support basic bookkeeping and invoice processing
  • Draft and proofread emails, memos, and internal communications
  • Support planning and logistics for virtual meetings and team events
  • Monitor shared inboxes and route requests to the appropriate team members
  • Assist leadership with special projects and administrative tasks as needed

Requirements

  • High school diploma or equivalent required, associate or bachelor's degree preferred
  • Prior internship or work experience in an administrative or customer-facing role is a plus
  • Strong written and verbal communication skills
  • Proficiency with Microsoft Office and Google Workspace
  • Comfortable learning new scheduling and collaboration tools
  • Excellent organizational skills and attention to detail
  • Ability to manage multiple priorities in a remote work environment
  • Reliable internet connection and a dedicated home workspace
  • Self-motivated with strong time management skills
