Key Responsibilities Front Desk & Administrative (Primary) Greet and welcome visitors in a professional and friendly manner Answer, screen, and direct incoming phone calls Maintain a clean, organized, and professional reception area Receive and distribute mail, deliveries, and messages · Schedule and coordinate meetings and appointments Provide general administrative support including data entry, filing and document management, Order and maintain office supplies; coordinate staff lunches and manage outgoing mail and packages Maintain confidentiality and handle sensitive information appropriately Review and enter vendor invoices into the accounting system, ensuring required documentation is complete Distribute checks as directed and notarize applicable lien waiver Route, track and obtain signatures on project and corporate documents Provide administrative support to Project Management Assistants (PMAs) on active projects Project Manager Assistant (Training & Development) Support Project Managers with administrative tasks throughout the project lifecycle Assist with issuing subcontracts and purchase orders Help track change orders, submittals, and project documentation Participate in maintaining job files, project records, and correspondence Assist with meeting minutes, RFIs, and transmittals Learn construction software systems (e.g., Autodesk, Sage Intact or similar) Support billing processes, including applications for payment and basic accounting coordination Assist with project closeout documentation Note: PMA responsibilities will be introduced progressively based on training and business needs. What We're Looking For Qualifications High school diploma required; associate degree preferred 1+ year of administrative, receptionist, or office support experience preferred Strong communication and customer service skills Highly organized with the ability to manage multiple tasks Proficiency in Microsoft Office (Word, Excel, Outlook) Interest in construction, project coordination, or operations preferred Ability to obtain Notary Public license within 90 days of hire Preferred Skills & Attributes Strong attention to detail and accuracy - particularly with numbers and formatting Ability to maintain professionalism in a fast-paced environment Willingness to learn new systems and processes Team-oriented mindset aligned with Abel's "One Abel" culture Commitment to safety and quality in all aspects of work Ability to recognize patterns, anticipate needs, and proactively identify potential issues Location: This position requires the candidate to work on-site in the Indianapolis, IN area.
