Job Summary

The Administrative Assistant for Academic Advising will provide budget, project management, and secretarial support to the Senior Director, Leadership Team and other advising staff members as needed.

Primary responsibilities of this position include:

  • Preparing and maintaining fiscal and budgetary records
  • Coordinating appointments and meetings
  • Handling personnel and human resources paperwork
  • Maintaining and ordering office supplies
  • Collects, organizes, and analyzes data for specialized reports
  • Collaborates with Academic Advising Staff
  • Processing and disseminating information to internal and external constituents
  • Clerical duties such as e-filing and relaying messages
  • Assisting in managing the office and departmental events on campus and/or virtual
  • Handles work of a confidential nature
  • Other tasks or responsibilities as needed for the department

A successful candidate will love working with students and staff in a fast and changing environment, have strong skills in budgeting, excel, and reporting, have excellent written and verbal communication skills, is excellent at conflict management and problem solving, loves working with people, and will be very detail oriented.

This position is an on-campus position at Taylorsville Redwood Campus. There is travel between campuses as needed.

  • Ability to track and manage over $1,000,000 budget.
  • Demonstrated human relations and effective communication skills.
  • Advanced experience using Microsoft program, such as Excel, Word, Outlook.
  • Experience with project management.
  • Ability to keep sensitive information private and keep organized records.
  • Ability to meet deadlines and expectations.
  • Advanced knowledge and experience with technology.
  • Ability to quickly learn processes and procedures.
  • Ability to manage multiple schedules and work with externals stakeholders.
  • Ability to use critical thinking skills and be flexible with changing demands.
  • Ability to plan and execute events.
  • Ability to organize and retrieve large amounts of information about staff activities and advising resources.
  • Ability to travel and support the department on multiple campuses.
  • Superior organizational skills with strong attention to detail.
  • Positive attitude with a focus on providing great customer service.
  • Ability to communicate effectively with a broad range of people with a variety of abilities and backgrounds, to maintain good working relationships across the College.
  • Ability to work with all groups from a variety of academic, socioeconomic, cultural, and ethnic backgrounds, and with community college students, faculty, and staff, including those with disabilities.
  • Other duties as assigned.

Minimum qualifications

  • Associate's degree or two years post high school.
  • One (1) to four (4) years of related full-time experience.
  • Experience using Microsoft programs (excel, word, outlook).
  • Experience working with budgets

Trade off 1:1 in experience/education requirement.

Part time experience may be considered on a prorated basis.

Preferred Qualifications

  • Bachelor's degree.
  • Prior experience as an administrative assistant in an academic setting.
  • Bilingual.
  • Familiarity with policies and procedures for higher education
