DEFINITION/DISTINGUISHING CHARACTERISTICS OF JOB: A Senior Administrative Assistant is under the direct supervision of the Wastewater Treatment Plant Superintendent. It is a versatile, high -level support role that blends executive assistance, project coordination, data analysis, and team leadership, ensuring the smooth operation of compl ex departments or programs. CORE RESPONSIBILITIES:

  • Plans, coordinates, and organizes day -to-day office operations
  • Processes payroll, invoices, purchase orders, and expense reports
  • Prepare budget reports
  • Assist with documentation and permits required by EPA and DEQ agencies
  • Enter and maintain operational data (flow rates, lab reports, maintenance logs)
  • Assist in compiling monthly or annual performance reports
  • May assign and monitor the work of other administrative support staff
  • Act as the main point of contact for vendors, contractors, and visitors
  • Coordinate special projects for the wastewater treatment plant
  • Correspond with other departments on projects
  • Collects, reviews and analyzes complex or confidential information; prepares reports, budgets and presentation materials using word processing, spreadsheets and specialized software
  • Schedules and coordinates meetings, travel, conferences, workshops, and other group activities KNOWLEDGE/SKILLS:
  • Advanced proficiency in MS Office and related software; strong verbal and written communication; organizational and time management skills; ability to exercise independent judgment TRAINING AND EDUCATION:
  • High School Diploma or general equivalent diploma issued by a State Department of Education
  • 5-7 years of administrative or secretarial experience LICENSES AND CERTIFICATES:
  • Possess a valid State of Louisiana Drivers License
