<h3>Confidential Executive Assistant to Chief Information Officer / IT Director</h3><h3>Entrance Salary</h3><p>$45,700 - $47,071 annually</p><h3>Description</h3><p>Responsible professional and technical work of a specialized nature in developing and coordinating a full range of administrative functions. This role will act as an intermediary for the CIO and candidates should be capable of building effective networks and engaging interpersonal relationships and partnerships within and outside of the department. Work involves responsibility for maintaining schedules, managing relationships across City government and delegation of work to administrative staff as needed. Candidates should be efficient time managers; problem solvers; excellent communicators; proficient in preparing, editing and reporting correspondence communications, presentations and other documents.</p><h3>Duties</h3><ul><li>Maintain professional discretion and strict confidentiality with top-level, high-priority or sensitive information, financial documents, records and personal matters.</li><li>Develop and maintain familiarity with the core functions and projects of the Office of Information Technology & Innovation (ITI) including future developments.</li><li>Explain directives, regulations, guidelines, and procedures to staff as needed.</li><li>Provide scheduling and calendar support to the CIO and Deputy CIO, such as coordinating virtual and in-person meetings, event reservations, conference room reservations, and travel arrangements.</li><li>Conduct initial meetings with sales representatives and vendors requesting an audience with CIO/Deputy CIO and create a comprehensive and concise document of product/services being offered for the CIO to review.</li><li>Provide general organization and housekeeping for the office, including ordering business products/office supplies.</li><li>Liaise with other departmental personnel, CAO’s Office and Mayor’s Office as needed on behalf of the CIO, Deputy CIO to coordinate meetings, department deliverables, and advise on other policy matters.</li><li>Advise staff on most appropriate method for completing critical purchases. This role participates in reviewing financial reports to identify sources of information to create and track departmental procurements.</li><li>Other work as required.</li></ul><h3>Knowledge, Skills, And Abilities</h3><ul><li>Proficiency in Microsoft Office products and other office productivity and presentation tools as needed.</li><li>Proficient use of computers, web resources and business applications to develop and format content in the course of City and departmental management.</li><li>Knowledge of standard City policies and practices.</li><li>Knowledge of English language structure and content, including the meaning and spelling of words, rules of composition, and grammar.</li><li>Concise presentation of operational information (orally, written, and/or using PowerPoint or Word) to department staff, ITI leadership.</li><li>Clear and effective written and oral communication skills.</li><li>Understanding written sentences and paragraphs in work related documents.</li><li>Interpersonal skills to interact effectively with personal contacts in a business-like, customer service-oriented manner, and maintain favorable public relations.</li><li>Ability to establish and maintain good working relationship with other City employees and the public.</li><li>Ability to think creatively, analyze problems and offer creative solutions.</li><li>Associate’s Degree or higher from an accredited university; and at least three (3) years of administrative experience; or,</li><li>Five (5) years of administrative experience</li></ul><h3>How to Apply</h3><p>Please send your resume and a cover letter to Rob Stevenson, Information Technology & Innovation Human Resources Manager (rlstevenson@nola.gov ) by May 10, 2024.</p>#J-18808-Ljbffr
